Inviting Applications from Local/Foreign Firms/Organizations for participation in Dhaka International Trade Fair (DITF)-2011 to be held during 01 to 31 January, 2011
16th Dhaka International Trade Fair (DITF)-2011 will be organized by Ministry of Commerce & Export Promotion Bureau at Sher-e-Bangla Nagar, Dhaka (West side of Bangabandhu International Conference Centre) during 01-31, January, 2011. Applications are invited from interested Local/Foreign Government and Non-government firms/organizations in proscribed form for participation in DITF-2011. Application Forms for local participants may be purchased from the Finance and Accounts Division of the Export Promotion Bureau, Dhaka during Office hours on all working days up to 23-09-2010
A) Conditions for Local Participants:
(i) Application forms of General & Premier Categories will be available on payment as mentioned below (Non-refundable):-
01. Pavilion (50'X50') - Tk. 14,000/- (Fourteen Thousand) only
02. Mini-Pavilion (25'X25') - Tk. 11,000/- (Eleven Thousand) only
03. Stall (15'X20') - Tk. 5,500/- (Five Thousand Five Hundred) only
04. Restaurant (25'X35') - Tk. 5,500/- (Five Thousand Five Hundred) only
(ii) Applications must be submitted along with attested copies Of valid and up-to-date Trade License, VAT Registration Certificate, Export Registration Certificate (ERC), Proceed Realization Certificate (PRC) from concerned Bank(s) (If applicable), up to date Income Tax Certificate Return showing TIN, up-to-date Bank-Solvency Certificate and Membership Certificate of Chamber/Trade Association attested by Government Gazetted Officer. Original copies must be shown at the time of submitting the application as and when necessary; and
(iii) No application form will be treated as valid if not accompanied with the above documents.
(B) Conditions for Foreign Participants:
(i) Application form will be supplied free of cost for foreign participants. Photocopy of the application form is also acceptable. This form is also available in the Website of EPB;
(ii) Applicants should submit application for Special Pavilion, Pavilion, Mini-Pavilion and Stall along with Demand Draft amounting to US$ 500(US$ Five Hundred) only as Security Deposit;
(iii) Import of exhibits will be allowed on payment of Customs Duties and Taxes at the Customs Points of Entry or as per any other provisions made by the customs authority;
(iv) Foreign participants should submit their application through concerned Bangladesh Missions abroad or through Missions of their own country in Dhaka; and
(v) Applicants of those countries which do not have Bangladesh Missions in their Country or their own Country Mission in Dhaka, will have to apply through Government/Chamber/Trade Bodies of their own country
C) Space and Rents/Charges/fares:
For Local participants:
i) Pavilion (50"X50") - Tk. 4,00,000/-
ii) Mini-Pavilion (25'X25') - Tk. 3,00,000/-
iii) Stall (15'X20') - Tk. 1,10,000/-
For Foreign Participants:
Special Pavilion (60'X60') - US$ 13,500.00
Pavilion (50'X50') - US$ 8,000.00
Mini-Pavilion (25'X25') US$ 5,700.00
Stall (15'X20') - US$ 3,700.00
D) Allotment of Premier Pavilion, Premier Mini-Pavilion, Premier Stall and Restaurant through auction (for Local Participants only):
(i) 05 (Five) Pavilions, 04 (Four) Mini-Pavilions, 35 (Thirty five) Stalls and 12 (Twelve) Restaurants in three blocks (4 in each block) located at important and prime location in the fair ground have been earmarked as Premier. The Floor Rates of the Premier Pavilion, Premier Mini-Pavilion, Premier Stall and Restaurants
Premier Pavilion (50'x50') - Tk.7,50,000/- (Seven lac fifty thousand) only
Premier Mini-Pavilion (25'x25') - Tk. 5,25,000/- (Five lac twenty five thousand) only
Premier Stall (18'x20') - Tk. 2,20,000/- (Two lac twenty Thousand) only
Restaurants (25'x35') - Tk. 3,00,000/- (Three lac) only
(ii) Firms/Organizations interested for obtaining allotment of Premier Pavilion, Premier Mini-Pavilion, Premier Stall and Restaurants shall have to submit offers in prescribed application form with required papers mentioned in this advertisement in the application form in sealed envelope. Rates should be quoted including 15% VAT & 5% Income Tax;
(iii) The offered rate Should not be below the aforementioned FLOOR RATE and applicants should quote rate in order of preference; and
(iv) Successful bidder Will have to pay 15% VAT & 5% Income Tax on quoted floor rate as per Government rules in addition to the quoted amount.
E) Security Deposit:
Local Participants interested for obtaining allotment of Premier Pavilion, Premier Mini-Pavilion, Premier Stall, Restaurants, Pavilion, Mini-Pavilion & Stall should submit Pay Order/Bank Draft amounting to 50% of the fixed rent or quoted amount (as applicable) in advance as Security Deposit (Refundable) along with the application form.
2. The caption of Bank Draft/Pay Order shall be "DHAKA INTERNATIONAL TRADE FAIR FUND."
3. Date & time of Sale & Submission of application Form:-
(i) Application forms for Local Participants will be sold & received up to 25-09-2010 during office hours in the Finance & Accounts Section of Export Promotion bureau. This is applicable to foreign participants also; and
(ii) Application form for Premier Category Pavilion, Mini Pavilion, Stall and Restaurant will be sold UP to 23-09-2010 by 5.00 pm and the offer shall have to be dropped in the Tender Box kept in the Export Promotion Bureau, 1, Karwan Bazaar TCB Bhaban (4th Floor), Dhaka-1215, Ministry of Commerce (Bldg. No.3, Room No. 126), Bangladesh Secretariat, Dhaka & Office of the Additional Divisional Commissioner (General), First 12-Storied Govt. Building, 2nd Floor, Room No. 303, Segunbagicha, Dhaka by 12.00 Hrs on 26-09-2010. The tender will be opened in the Conference Room of Export Promotion Bureau in front of the bidder's' representative (if any) at 2:00 PM. on the same date.
4. Terms and Conditions:
(i) The Security Deposit of Local and Foreign Allottees would be refundable at the end of the fair period subject to the fulfillment of the terms and conditions mentioned in the application form, allotment letter and as per the advertisement. Non-participation after selection shall result in forfeiture of the Security Deposit (Bank Draft/Pay Order), The firms not selected by the Fair Authority will be eligible for refund of Security Money after 15 days of opening the Fair;
(ii) No application will be received/entertained if not accompanied with above-mentioned documents;
(iii) Selected participants will be required to pay the rent in the form at Bank Draft/Pay Order in favor of DHAKA INTERNATIONAL TRADE FAIR FUND within 7(seven) days from the dale of issuance of primary allotment letter;
(iv) No participant except a manufacturer will be allowed to display products of more than one Product Group. Product Groups defined by the Fair Authority in the Guideline shall be treated as final;
(v) Local participant will not be allowed to sell or exhibit imported foreign goods unless producing relevant import documents or ascertain documents from the concern High Commission/Embassy;
(vi) Local participants will not be allowed to use signboard, banner or festoon written in any language other than Bangla & English;
(vii) The Fair Authority will not be responsible for poor turn out of visitors and premature closure of the fair for whatever reason and any plea for refund of rent and taxes will not be entertained;
(viii) Selling or display of non-approved items and to cook/prepare or sell any food item (except in the Restaurants) is strictly prohibited, Breach of these provisions will lead to the forfeiture of security deposit and make the exhibitor liable for other punitive actions as decided by the Fair Authority;
(ix) In addition to the documents referred to m the condition A (ii) applicants have to quote total bid amount including 15% VAT and 05% income Tax following the price list of food and drinks as approved by the fair authority for leasing restaurants. Price list of food and drinks as well as conditions approved by the fair authority have to be strictly complied with. In this connection, written undertaking has to be provided on Tk, 150/- Non-judicial Stamp along with the application form;
(x) An attested photograph of applicant to be affixed at the top right comer of the application form;
(xi) An applicant can apply for more than one item (Pavilion, Mini-Pavilion and Stall) but the selection committee have preserved the right to allot only one item;
(xii) Finally selected Foreign and Local Applicant shall have to pay 15%
VAT, 5% Taxes & 5% City Corporation (if applicable) Taxes as well as Taxes imposed by government from time to time;
(xiii) The application form, security deposit and allotment will be cancelled if any document submitted, is found fake; and
(xiv) Finally selected Applicant (Local and Foreign) shall not be allowed to transfer or given Power of Attorney to anybody at any cost. In case of violation security money will be forfeited.
(xv) The Fair Authority reserves the right to accept or reject any or all application.
